Job Overview:
Sri Lakshmi Tractors is looking for a highly organized and efficient Administrative/Office Assistant to provide support to our team. The successful candidate will be responsible for managing office operations, handling clerical tasks, and ensuring smooth day-to-day operations within the dealership. This role requires excellent organizational skills, attention to detail, and the ability to multitask.
Key Responsibilities:
- Office Management: Oversee daily office operations, including answering phone calls, managing emails, and greeting customers or visitors.
- Data Entry: Maintain and update customer and inventory databases with accurate information on tractors (Mahindra Oja, Yuvraj, Jivo, XP Plus, SP Plus, Yuvo Tech +, Arjun, Novo) and parts.
- Scheduling: Coordinate appointments, meetings, and events for the management and sales teams, including customer appointments and service schedules.
- Document Management: Organize and maintain physical and digital files, including contracts, invoices, receipts, and other important documents.
- Customer Support: Assist customers with inquiries, direct them to the appropriate department, and handle basic customer service tasks in person, over the phone, or via email.
- Supply Management: Monitor and order office supplies as needed to ensure a well-stocked office environment.
- Billing and Invoicing: Assist with processing invoices, maintaining financial records, and coordinating with the finance department for billing-related tasks.
- Clerical Support: Provide administrative support to other departments, including the sales, parts, and service teams, by preparing documents, reports, and presentations as needed.
- Communication: Coordinate internal and external communications, ensuring messages are relayed to the appropriate team members.
- Office Coordination: Ensure the office environment is tidy, organized, and running smoothly by managing office maintenance and coordinating with external vendors as needed.
Qualifications:
- Proven experience as an Administrative Assistant, Office Assistant, or similar role.
- Strong organizational skills with the ability to prioritize tasks and multitask efficiently.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- High level of attention to detail and accuracy in data entry and document management.
- Ability to work independently and in a team environment.
Preferred Qualifications:
- Experience working in the automotive, agricultural, or machinery industry.
- Familiarity with dealership management software (a plus).
